About the Role

We’re looking for a hands-on, detail-driven Bookkeeper who wants more than just a job, someone ready to grow into a Full-Charge Bookkeeper and eventually help steer the financial health of a growing company.

You’ll start with the core: accounts payable, receivable, and payroll. Then, as you prove your skill and initiative, you’ll take on reconciliations and financial reporting. The goal? To become a trusted internal watchdog, someone who understands where the money goes, catches what others miss, and isn’t afraid to speak up.

This is not a passive role. If you’re the kind of person who notices discrepancies, thinks in systems, and wants to help a business grow smarter and leaner, this is for you. It’s about protecting and guiding a growing company through sharp insight and good judgment.

Responsibilities (in growth phases)
Phase 1 – Bookkeeping Basics
  • Accounts Payable
    • Receive and enter bills (via email or mail) into QuickBooks
    • Verify bills against orders, margins, and delivery confirmations
    • Pay via Bill.com (ACH), Divvy (credit card), and checks (reviewed/approved by CEO)
  • Accounts Receivable
    • Process payments across ACH, credit card, checks, and wires
    • Use QuickBooks + custom ERP to track revenue (training provided)
    • Stay on top of collections and manage internal credit holds
  • Payroll
    • Run payroll biweekly via ADP Run
    • Onboard new hires into the biometric clock system
    • Verify hours, handle reimbursements, deductions, and commissions
    • Act as the point of contact for employee payroll questions

Phase 2 – Full-Charge Bookkeeping
  • Reconcile credit card and bank accounts in QuickBooks
  • Accurately categorize every transaction (some bills, some subscriptions, some recurring)
  • Ensure that every penny in and out is accounted for with clean line items
  • Create monthly P&L and Balance Sheet reports for executive review

Phase 3 – Strategic Finance Contribution
  • Spot trends, overspending, inefficiencies, hidden costs, and/or overstaffing
  • Propose savings, cleanup, or workflow improvements
  • Think proactively: “How do I make sure every dollar we spend is valid, fair, and necessary?”
  • Challenge what’s broken, offer solutions, and look out for the company, not just your checklist.

Must-Have Experience
  • 3–5 years working with QuickBooks
  • 5+ years of total bookkeeping experience
  • 2+ years in payroll processing (preferably using ADP Run or Paychex)
  • 2–3+ years managing accounts payable, accounts receivable, and performing bank/credit card reconciliations
  • Tech-savvy; comfortable using cloud-based platforms like Bill.com, Divvy, and custom ERP systems

What Sets You Apart
  • You don’t just “do the job”, you think critically
  • You ask questions like “Is this expense justified?”
  • You care about accuracy, not just balance
  • You speak up when something looks off, and bring ideas to fix it
  • You’re curious, proactive, strategic, and care about protecting the business

Salary & Growth
  • $50,000 – $90,000/year starting, depending on experience and scope of responsibility
  • Clear growth path from core bookkeeping → full-charge → financial contributor

If you’re sharp, hungry, and want to become part of the leadership team, this is your runway.
Compensation: $50,000.00 - $90,000.00 per year
